Physicians Team Assistant
Location: Greater Vancouver – Hospital-Based
Schedule: Monday–Friday, 9:00–17:00 (40 hours/week)
Salary: 60,000 per annum


We are seeking an organized, proactive, and service-oriented professional to support physicians in a busy hospital setting. This unique role helps free up physicians to focus on patient care by managing non-clinical administrative tasks, maintaining physician workspaces, and coordinating onboarding and community activities.

  • Managing logistical and administrative details behind the scenes.
  • Tracking and escalating issues promptly until resolved.
  • Keeping physician areas organized, supplied, and ready.
  • Coordinating onboarding, events, and community-building initiatives.

Key Responsibilities

  • Conduct daily rounds to check and maintain physician-only spaces, scrubs, and lounges.
  • Escalate resource gaps (equipment, facility issues, cleaning needs) and follow up until completion.
  • Track open issues in a shared log and provide regular updates to physician leadership.
  • Act as the first point of contact for physician feedback and ensure concerns are logged.
  • Coordinate onboarding for new physicians (badges, lockers, scrubs, IT access, etc.).
  • Organize physician meetings, social events, and professional gatherings.
  • Manage physician parking roster and monitor compliance.
  • Provide general administrative support, including communication and scheduling assistance.

About You

Experience & Skills
  • 2+ years in hospital administration, unit clerk, or facilities liaison roles.
  • Previous exposure to clinical settings preferred.
  • Recent MOA experience an asset
  • Strong communicator—diplomatic, approachable, and calm under pressure.
  • Proficient with Google Workspace (Sheets, Gmail, Docs) and WhatsApp.
  • Highly organized, detail-oriented, and proactive problem-solver.
  • Event planning or logistics experience is an asset.

  • Self-motivated with strong initiative.
  • Service-oriented with a collaborative mindset.
  • Able to anticipate needs, take ownership, and follow through consistently.
Requirements
  • Criminal Record Check.
  • Current vaccinations.
